Sales & Marketing Admin Location: Irving, TX. Employment Type: Full-Time. Work Mode: On-Site. Compensation: From $24.00 per hour. Position Overview The Sales & Marketing Administrator supports the sales team, improves customer follow-up, maintains CRM accuracy, coordinates trade show activity, assists with sales orders, and supports marketing initiatives. You'll work closely with the Sales Manager, leadership, accounting, warehouse, and customers to keep sales activities organized, leads followed up, orders processed correctly, and internal communication clear. The ideal candidate is organized, detail-oriented, proactive, and able to manage follow-up without constant direction. (Monday to Friday, 8:00 AM to 4:30 PM, up to 30% travel per year.) Sales Support - Assist the Sales Manager and sales team with daily sales support tasks. - Research and identify new potential customers (trade shows, industry publications, LinkedIn, social media, online directories, other lead sources). - Support outbound prospecting through email, phone, and social media outreach. - Maintain engagement with prospects and customers through proper follow-up. - Prepare, send, and track estimates, quotes, sample requests, and sales opportunities. - Follow up on open quotes, sample shipments, customer inquiries, and pending opportunities. - Enter sales orders accurately into the sales system. - Maintain accurate customer records, lead status, notes, and activity updates in the CRM. - Monitor customer activity and alert the Sales Manager of important updates, delays, or opportunities. - Support customer onboarding and ensure required forms, documents, and account info are completed. Trade Shows & Lead Management - Assist with planning and coordinating trade shows, expos, customer visits, and sales events. - Manage booth registration, badges, travel coordination, shipping of materials, lead sheets, and show prep. - Organize trade show leads after each event and enter them into the CRM. - Assign or track follow-up activity for trade show leads. - Prepare post-show reports, lead summaries, and follow-up lists. - Track sample requests and customer interest generated from trade shows. Marketing & Social Media Support - Assist with social media planning, content coordination, and posting. - Research new platforms, industry trends, and promotional opportunities. - Coordinate content ideas (products, grower education, trade shows, customer success stories). - Assist with email campaigns, mailing lists, promotional materials, and marketing updates. - Coordinate with outside marketing/social media vendors when needed. Customer Service & Communication - Answer customer questions or route inquiries to the proper team member. - Communicate with customers on quotes, orders, samples, documents, and general updates. - Coordinate between sales, accounting, warehouse, and customers to resolve issues. - Maintain professional communication with customers, vendors, distributors, and internal staff. - Ensure important customer requests are documented and followed through. Operations & Warehouse Coordination - Coordinate with warehouse/operations on order status, inventory availability, sample shipments, and delivery requirements. - Monitor inventory levels and alert the right team members when stock concerns arise. - Track customer orders from estimate creation through fulfillment and delivery. - Communicate special shipping requirements, customer instructions, or delivery concerns before dispatch. - Support internal reports on samples, estimates, orders, inventory, and sales activity. Reporting & Administrative Duties - Maintain accurate CRM records, customer files, databases, and sales reporting systems. - Prepare weekly/monthly reports as requested by the Sales Manager or leadership. - Track open leads, open quotes, samples sent, follow-ups, trade show activity, and opportunities. - Assist with documentation, filing, data entry, and internal coordination. - Support accounting/office personnel with sales-related documents, invoices, or customer records. What You Bring Education: Bachelor's degree in Business Administration, Marketing, Commerce, or related field, preferred but not required. Experience: - 2 to 3 years of hands-on sales administration / sales support experience (preferably B2B). - Supporting a sales team while managing administrative responsibilities. - Maintaining customer engagement through proactive follow-up and relationship management. - Working with quotes, orders, samples, customer communications, and opportunity tracking. - Using CRM software for customer records, lead pipelines, activity tracking, and reporting. - Coordinating across sales, accounting, warehouse, and customer service. - Office administration in a fast-paced environment. Technical Skills - CRM platforms such as Monday.com, HubSpot, Salesforce, or similar. - Proficiency in Microsoft Office, Outlook, Excel, and Word. - QuickBooks or similar accounting/order systems (preferred). - Ability to maintain clean, accurate records, reports, customer files, and CRM activity. - Strong ability to learn internal systems and follow company procedures.
